Introduction

Nowadays more and more companies have employees working remotely from their home or even in other offices around the world. Travelling for meetings costs time and money which could be better spent elsewhere. Long distances or people in different locations need not get in the way of holding an important meeting. With the 3CX client you can easily create, schedule, manage, and join ad-hoc conference calls (conference calls that initiate immediately without scheduling), web meetings or even webinars from your desktop or laptop computer. 

Creating an Ad-Hoc Conference Call

With the 3CX Client you have the ability to create ad-hoc conference calls:

  1. Click on the “Conference”  button and Create Conference.
  2. Select the .
  3. Fill in the Subject of the conference call and add Notes if needed.
  4. Enter the Email, Number in the appropriate box. You can also add participants from the phonebook by clicking on the  button. Select the desired contacts from the list, by clicking the checkbox next to their name, or by using the Search.
  5. You may also import participants via csv. Click on the  button, select the csv file and press “Open.”
  6. Click “Start Now” to start the conference. The call will be initiated and the participants will connect.
  • In case a Call to one of the participants fails you can redial the specific contact by pressing the .
  • The conference starts when at least one other person joins.
  • Other participants you have invited may join the conference at any time.
  • Within the conference you can reconnect, disconnect or mute a participant from your conference, add more participants or terminate the call.

Create a Scheduled Conference Call

  1. Click on the “Conference”  button and press “Create Conference.”
  2. Select the .
  3. Fill in the Subject of the conference call and add any Notes if needed.
  4. Enter the Email, Number in the appropriate box. You can also add participants from the phonebook by clicking on the  button. Select the desired contacts from the list, by clicking the checkbox next to their name, or by using the Search.
  5. You may also import participants via csv. Click on the  button, select the csv file and press “Open.”
  6. Press “Schedule” and fill in the Start Date, Time and Duration.
  7. Check Enable announcements to hear an announcement whenever a participant enters the conference.
  8. Click the “Schedule” button. All participants will receive an email with the conference phone number and the conference ID they need to use to access your conference.

Note: To Edit” or Delete a conference go to ConferenceView Conferences.

Elevate a call to a conference call

While on a call, you might need to ask the assistance of a third party. You can do so by elevating the call to a conference call and adding more people in the conversation. With the 3CX client there is no need to hang up the phone in order to create a conference call.

  1. While in a call click the Conference”  button to go to the conference screen. 
  2. Follow the steps above to add participants and proceed with the conference call.

Tip: To view, edit or delete the scheduled conferences go to the conference tab and click “View Conferences.”

Add More Participants to an Ongoing Conference

  1. Click the “Conference” button, and then select “View Conferences.”
  2. Click the “Add more people”  button and select the desired contact from the list. You can only add participants from your Contact list.

    Is there a way to save a conference call with the attendees’ #’s if it is a conference call I use on a reoccurring basis?

      Hi Jim, You can schedule conference calls to occur in the future but as for saving scheduled conferences to use on a reoccurring basis, this is a good one for our ideas section: http://www.3cx.com/ideas.

    When doing a conference call, it drops the call after 10 minutes. Anyway to resolve this and have longer conference calls?

  3. Hi,

    Is there a way – other than editing the conference – for you to see the invited participants prior to the start?
    Also, when you click on View Conferences, does this show all active conferences on the PBX, or just the conferences you’ve scheduled?

    • @Stan You are correct. We can probably make a button – view and this will show information about the conference in a dialog box.
      When you click on view conferences you see your conferences yes. The ones you have created.

    Hello – does 3CX have the ability to schedule recurring conference calls? If so, what are the steps to perform that function? I don’t see it in these instructions nor do I see how to do it within the 3CX application. Thank you!

      @Katherine, thanks for the question. It is not possible to schedule a recurring conference. You may also post this in our feature request page: http://www.3cx.com/ideas and if it gets enough votes and is technically possible it may very well get implemented.

    How do you conference someone in during an on-going phone call? for example, I am talking to a client and we want to have another person on the conversation. Tried following the above directions for “add more participants” but only got the on-hold music….

      @Mary, Whilst on a call click the conference button on the main screen of the 3CXPhone then click the pencil icon to add more people, locate and select the extension of the person you would like to add to the conversation and click the ‘Start now’ button to conference in the person chosen to participate in your current conversation.

    I had arranged a call (to take place today) with the help of a colleague who had just had a successful call. Not only did none of my the internal participants receive a call today, they tried to dial in and were told the maximum limit was reached — what happened? Was there something that I as the scheduler should have done today to make the call start?
