If you need to ask a simple question while on the phone, or do not want to interrupt your work or others, instant chat is the ideal solution. All of us use some sort of instant chat feature; the 3CX client comes with integrated instant messaging but with many more capabilities than simple texting. Not only can you send chat messages to your colleagues, but you can also elevate your chat to a WebRTC call with audio and video, or even a 3CX WebMeeting, with a single click.

To Start a Chat

  1. Click or tap the Chat  button on the bottom row of icons. On Android and iOS, tap More and then select Messages/ Chat.
  2. Press Compose Chat  or the plus icon.
  3. This will bring up your company’s extension list. Search or scroll to find the extension that you want to chat with and select it. Click OK  or Done to launch the chat window. You can also select multiple contacts and have a group chat.
  4. Click on the entry field at the bottom of the chat window and start writing your message. Press Enter, Send or  to send your message.

Elevate your chat to a web meeting (only for Windows and Mac)

You can elevate your chat to a web meeting and all of your chat participants can join in. To create a web meeting, click the Create 3CX WebMeeting  button. Your browser will launch and you will be immediately logged into the meeting. A link to join the web meeting will be sent to your chat window for your colleagues to use.

Chat History

You can view and delete your chat history. To view the Chat History press the  button on the Windows client. On Android, the history appears in tabs above the message panel where you can select from day, week, month or all, and on Mac you must select the Show history option. To delete the Chat history:

  1. Tap the Chat  button to view your chat log.
  2. On the preferred chat right click for Windows and Mac, long press for Android, or tap “Edit” for iOS. Select “Delete”.
  3. A screen will appear asking you to confirm the deletion, press OK.

Additional Chat Settings

From here you can configure a variety of helpful settings for using your chat feature. In particular:

  • Chat Sound: You can select from a drop down list your preferred sound for when receiving a chat. Available only for Windows and Mac.
  • Chat Window: By enabling this option, the chat window will automatically open when a chat is received. Available only for Windows and Mac.
  • Block Users: You can select a number of extensions that will not be able to contact you via chat.

    Hi Doug

    It is possible, just start a chat session by pressing the chat icon on 3CXPhone, click compose, choose the people you would like to participate and click the tick button to start the chat session. Type your message and send it to your chosen participants.

      Also, once I am on a chat that has been created by someone else, is it possible to the exit the chat?

      Hi Doug

      The chat that someone else created can only be removed by the person that created it. If you are part of a multiple person chat you will receive all the chats sent by the participants.

      Is it ever likely that there will be provision for exiting a multi person chat that you have not created? Sometimes they become very irrelevant to my role.

      Hi Spring, You can see your chats by clicking on the 3CXPhone chat button. There you can manage all the chats that have taken place from that extension.

      Hi Spring, Chat sessions are only available to the participants of the chat. You cannot view them from the 3CX phone System.

      @Jason, thanks for the question. You can set the Chat window in your 3CXPhone for Windows to automatically open. To do this, Click the chat button on the bottom menu of your 3CXPhone, then click the chat settings (spanner \screwdriver icon) and tick the check box under the “Chat Window” Title called “Automatically open chat window on incoming chat”.

      Hi Michael, Thanks for the question. You can set the chat window to open automatically on an incoming chat from 3CX Phone for Windows. To do this, click the chat icon and then click settings (screwdriver and spanner icon). In settings tick the checkbox to ‘Automatically open chat window on incoming chat’.

    Is there a way to configure the chat window to popup when you receive a message?
    This functionality was available in previous versions but now appears to be missing. Is there a config file change or registry key we can change to get this functionality back?

      @Ben, thanks for the question. You can configure the chat window to popup when you receive a message. This is done by clicking the chat button from the bottom menu and then the settings button (Screwdriver and spanner icon). Then simply tick the ‘Automatically open chat window on incoming chat’.

      @Caroline, thanks for the question. You can turn off chat notifications from 3CXPhone. To do this click the chat button (chat icon) then click settings (Spanner & screwdriver icon) and from the ‘Chat Sound’ section choose ‘None’ from the drop down menu.

      I realize this is a automated welcome letter, but no attachment for me to properly load the 3cx phone system unto my computer. After three attempts and it tells me I have successfully loaded the application then I receive the same message as follows;

    What has happened when the chat option is missing?

    3CXPhone opens but i cannot start a chat from presence and box to input characters in chat is greyed out and unable to put characters in. 3CX v14 of a recent install on server 2012 R2

      Danny, From 3CXPhone for Windows click the Chat icon, then click settings (screwdriver and spanner icon) and from the chat status section make sure the drop down menu is set to ‘Online’.

  10. Can you tell me where the chat history is saved on the server – if I delete an extension and then re-create for a new user they get all the previous users chat history?

    We currently use Microsoft Office Communication Server 2007 R2, but would move to the 3cx IM if we adopt it as our PBX. OCS archives all chats to an SQL server database for compliance, etc. Does 3cx IM have the same feature? We also want to keep IM free/busy status tied to meetings on our Exchange calendars. Does 3cx have this integration as well, so that my IM status would show as busy if I was in a scheduled meeting?

    • @Donny Yes all chats are archived in the database. You can export them. And you can agree to a message box that is displayed when you login to the management console to enable chat management server side.
      We do the have Exchange integration you mention but it is not tied to whether you are free/busy on chat. Instead it is tied to the status profile you are in. Available Away DND etc. When Exchange integration is on we map 2 3CX Profiles to Exchange profiles – these are Available and Away.

    Is there a way to get the popup window to display on top of other open windows? The window opens behind everything and therefore I don’t realize I received a chat message until someone mentions it or I close out other windows.
