Is there a way to check from the phone system what automated responses a particular user set up on their softphone as it created some confussion or do i need to check users computer for that?

I'm not sure what softphone you are using, there may be some that can answer the call on the PC, but, in the 3CX world, the call routing and messages are handled by the PBX. You can access functions to change this from a PC, but 3CX still takes care of what happens to the call.

    What are callers actually reaching?

In that case if it's set to transfer to voicemail in out-of-office hours for a particular extension where do I find the file with the pre-recorded answer message?

It's going to differ (slightly) depending on your operating system.
