Effects of Deleting an extensions

Hi all,

Can someone please clarify or point me to an existing documentation if any regarding this scenario

Let's say, an employee leaves the company. What would be the best practice to apply in handling the employee's extension?
Is it fine to delete the extension right away without affecting the extension's data such as recordings? Or just leave the extension and rename it when a replacement comes in.

Please advice.

Deleting an extension will also delete their recordings and voicemails. At a minimum, you may want to save these files before deleting the extension. I personally would just disable the extension for a time. It's a quick fix and you don't have to worry about losing any files.

When you are ready to give the extension number to someone else, I would be inclined to delete the extension and recreate it. But that's just my personal preference.

Best pratice is to delete/recreate extension, when new user come, just set his personal infos and send him welcome email to provision devices.

Of course advice to save records ,if this is needed , before deleting extension, is good way.

When a desk phone is involved, I usually just disable it, and when its time to reuse it, i re-enable it, change the name, email, etc, and change the SIP user and password to a new set, this leaves the STUN ports assigned properly, and we always have option 66 setup, so when someone takes over the desk we have them factory reset the phone and boom their up.
 
Would be nice if there was an option when deleting an extension to prompt: Recordings and Voicemails exist. Do you want to SAVE?

Also - if you only disable and then later re-enable - not everyone is on top of changing their greeting and/or recorded name... so it is someone else's information. So if this is a better option - would be nice to "reset the voicemail box".
