How best to manage contacts?

Not quite sure if this is in the right area i couldn't quite match it up to one.

We're currently in the process of rolling out 3CX to a large'ish user base - We have Teams integration enabled for users who will have a DDI/dial plan within Teams so the address book within 3CX will be fine for those users and we only sync users within 3CX who will have this.

There will be many users that wont have their own DDI/extension but will have multiple 'shared' physical phones within an office. So say there's a staff room with 30 people in - 3x phones that will be direct within 3CX and 10x people will use a specific shared phone (just to add to the complexity, there may be some users within this office who also have a DDI/extension within Teams so wont be marked as having a shared phone extension)

What's the best way of keeping a named extension list up to date for the web/desktop client? We keep the AD phone number up to date for all users in the +44 format. So 10x staff will all have the same number listed under them in AD.

Rather than a member of the contact center having to know that Joe Bloggs works in HR, to call one of the HR phones we'd need them to be able to search for Joe Bloggs and it come up with the correct extension.

The only way I can see this is possible is to keep the 'Contacts' list up to date but this is a semi-manual task rather than something more automated. Even if I exported a CSV from AD of all users, modified it to just be the extension number from the phone field and imported - I then imagine there would be duplicates because there would be users within there who are already in the address book from the Teams integration.
