Other receptionists accessing the main receptionist Voicemail Box

Can anyone advise me on the best practise for this.

Basically, i have three receptionists at a school, i set them up as ext 201,202,203, they all have Yealink T46U phones, they all want to access the voicemail of the digital receptionist option which i have set to ext 200 with email as attachment to their shared mailbox for parents calling in about student absences.

The "email voicemail as attachment" option is not their preferred way of accessing these voicemails as they are often unable to co-ordinate who has addressed which voicemail between them, which has caused them to call the same parent twice.

What i would like to do is set a BLF key on their three T46U's to access the voicemail of ext 200, that way they can use the voicemail menu system to cor-ordinate the deletion of messages once they have been actioned on.

Now, for another school what i did was setup the ext 200 as a secondary account on the Yealink phone, and got them to use the menu system to access the main reception voicemail rather then their own but it seems like a bit of a long winded way around doing this, is there a better way?

Also, i do want their phones to flash red when there is a voicemail pending on the main reception VM box
 
You have already discussed the main options:
  • Voicemail to Email (Email distribution group)
  • Two accounts on the phone
  • Group Voicemail
My personal preference is two accounts on the phone.

Alternatively, you can look at our 3CX Voicemail Manager tool. We provide enhanced group voicemail where everyone receives a message waiting indicator on their phone, and if anyone in the group listens to the voicemail, it shows as heard for everyone else -- that solves the problem of having multiple people calling back the same parent.

We have been trying for close to 15 years to get a decent transcription of the low-fidelity recordings used by 3CX. I have literally tried countless voice-to-text engines over the years, but now we actually have a engine that works nearly flawlessly. Thank you AI!
