Adding a new employee brings up former employee chat/name

Im not sure how to phrase this for a search engine, but when I add a new person to our 3cx, the extention it assigns is often one used by former employees. When it gets assigned, their chat history with any user will come up when a new chat is created, and when they are added to a chat that already exists, the name of the former employee comes up as their name. For example: Tom leaves the company and had ext 23. When we hire Janice, she is assigned 23, but the chat history for Tom comes up any time someone messages Janice, and if Janice is added to a group chat, it will say "Tom was added".

How do I fix this?

This is expected as this is part of the database of the PBX.
It is good to have history of previous user in case you need information from past chats.

I definitely dont want to get rid of the history, but its weird when old employees suddenly join the conversation, you know?

Have you pressed the Dealt With first?
 
We only see that option in SMS convos.
 
May i ask, you are able to see the archived SMS or previous chats?
 
Yes. When I click the dropdown for "recents" and choose "archived".
 
Yes those are listed in archived and can be unarchived but still this will be added in the history of the new user.

So all employees need to archive convos from extensions that an previous employee had? Again, not sure how to stop this. When an new employee is onboarded with an ext that someone else used, the previous employee name comes up when added to chats, and anyone starting a new convo with that ext sees the old one.
