Hello, is there a way of setting up a general mailbox on a hosted 3CX that the operator can access by seeing visual indication on the operator phones (x3). Can a button be setup on the Yealink T54W handsets? The customer is not using individual mailbox's of the user and just want a general mailbox for their business that can be monitored from the reception phones.

Why not use the receptionist's mailbox as the general mailbox in this case?

I have 3 users set as the reception phones (501,502,503). What do I need to do to setup general mailbox that will indicate there is a message for them to check. They don't want the email attachment as they are not equipped with speakers or bluetooth headsets to hear the Vmail

You have some options.
No cost, fully supported: You could have all 3 users setup with the same extension (an extension can have multiple phones attached to it).

No cost, not supported by 3CX: You use a custom template or manual configuration and configure the MWI and VM button to monitor a shared mailbox.

Has cost, 3rd party support: Some companies, like VOIPTools, have a tool designed just for this.

I like the 2nd option but wouldn't know where to start

The rough steps are

1. create a generic extension that will house the general mailbox
2. Make a custom template: https://www.3cx.com/docs/custom-ip-phone-templates/
3. Configure account #2 on the template. look for
Code:
##                           Account1 Settings                                       ##
in the existing template, duplicate but change to account2
4. Configure the MWI as desired for all accounts
Code:
#Enable or disable the phone to subscribe the message waiting indicator; 0-Disabled (default), 1-Enabled;
account.1.subscribe_mwi = 1

#Configure MWI subscribe expiry time (in seconds). It ranges from 0 to 84600, the default value is 3600.
account.1.subscribe_mwi_expires = 900
account.1.sub_fail_retry_interval =

Now the light should light up and the voicemail key should allow you to see counts, call in, etc.

Hi, Thanks for the info supplied. I am very new to 3CX and haven't learned the operations you have listed above. Do I need to access the phone for this, or is it in done in the 3CX? will you be able to assist me in setting this up? I can setup anydesk or Teamviewer (huge help).

Usually we set up the generic extension to email a notification without the voicemail attachment. Users can dial the voicemail extension, e.g. 999, and press # to log in as a different extension.

Hi Steve, Thanks for reply however, I have 3 extensions that are setup as Reception phones. We want to get a notification on the handsets to indicate messages in the mailbox (general). The customer doesn't want email notification.

Gotcha. I read the above as that being an issue only because of the lack of speaker. Carry on. :)

It's done in 3CX.
It's a bit of time to do and test and not something I would be able to connect to your system and do for you without a business agreement in place (I have to be careful from both time and liability perspectives). If you are interested in setting that up and engaging our services, feel free to PM me. To be transparent, I'm happy to help via the forums for free, but I cannot give away customized support and do charge an hourly rate for services provided.

Where are you guys based?

Where are you guys based?
We've got people (FTE, not outsourced) literally around the world, but North America and UK are our target areas.
That being said, this type of work is all done remotely.

The custom template approach is a good option. At least in the past, it was also possible to simply manually configure two accounts on the same phone. Is that no longer possible? Manual configuration of two accounts on one phone (one account being the shared extension) was easy and is something I have done several times in the past.

Today, I would take a different approach that does not require manually configuring accounts, or using custom templates. I encourage you to take a look at our 3CX Voicemail Manager tool. We offer enhanced group voicemail features that include turning on the MWI for all members of the group, and turning it off again if anyone on the group listens to the voicemail.
