How to Limit Users from Seeing Other Users in Web / Team View

We created a batch of users.

Some of them at the top of the organizational level are listed as "Hide from Contacts."

When I log into the normal web client as a regular user with no special roles, that user can see the status AND the extension number of the users who are marked as "Hide from Contacts."

If I go to the Department settings, I can uncheck the box to "Publish department information to all extensions," and this will hide the leadership. But, it hides EVERYONE in the Department.

What we want to accomplish is to effectively hide all the users marked as "Hide from Contacts" while still publishing Department information in general for the rest of the team members.

How is this accomplished in 3CX?

I suppose that at worst, we would create a secondary group (Leaders1, Leaders2) and put the whole team in Leaders2 so they can see each other's Presence and then only put the assistants to the leaders in Leaders1 and publish that Department to the rest of the system. Surely there's a better way to do this?

Having same issue...bank of extensions (Just extention-to-cell use)...not ALL show. They 'were' hidden. Option to hide from contacts is selected.

I think it's a bug (regression) with v20.0 Update 3. Build 806, never had issue before.

I guess we'll find out in next release. Maybe I should ask Nick P in training today "when is the next release"? Lol!

Hey stick I'm sure this was not the way in v18, we have a few dummy extensions for forwarding etc, and could hide a user and it would not show in the Team.

From what I have played with, a 2nd group would resolve this, but we are playing with Multi-Tenant at the moment, so this is going to get a little messy, each customer would have a primary and secondary group.

Can anyone from 3CX confirm if this is a feature or a bug? Was it removed accidentally or for a reason? Or it never existed and we're all imagining? Any feedback?

I checked it by myself. The button "hide from contacts" doesnt work as expected. Under team, the extension is there in both situations, with or without ticked the button. @NicholasP_3CX are we doing something wrong?

Adding my name to the list of "Hide from Contacts" checkbox not working as expected.

All this option does is hide the extension from returning in the search.

if you want to hide the extension then stick it in its own dept without publishing.

So is there a bulk way to add all the hours and all the holidays i am going to add to all these groups i now need?

If that's what the INTENT for that is, it needs to be better documented.

But for most companies (larger ones at least) the ability to HIDE top exec's extensions is a real need.

And as pointed out below, having to make multiple departments has its own issues.

I've not found one.

I had to create several different departments for a customer, and now they ALL need to have Office Hours and, guess what, Holidays set.

I'm not sure if adding everyone who needs the same hours to a "DEFAULT" style group will override other department hours or if they have to be members of more than one group.

I'm the OP, and this is straying from the original topic, but it does show how the lack of this feature (hiding from Team, contacts, address book, whatever you want to call it) DOES affect the whole setup.

Hi,

"Hide from Contacts" was always designed that once enabled, it will be hidden from contact search. So IP Phones & Apps will not list this user in the phonebook.

"Team" is using presence to retrieve information about the users in the department.

For now you may isolate them by using Departments.

In the meantime next update 5, beta we will provide an improvement that will also hide the user within the department once "Hide User" is enabled.

Thanks for the update--and the change/fix. This will make a lot of customers happy, I imagine.

Still having an issue with this one, on V20 U5 Build 551. When this thread started last September, the option was labeled "Hide from Contacts", and in a subsequent release it was changed to "Hide User". We need to display users of a given Department only to other users in that department, and, to NOT have all system users displayed in Contacts. We're primarily using the iOS app.

The problem we're seeing is that Hide User must NOT be checked/enabled for users to appear in the Team section, but this causes the Contacts section to display ALL USERS across the system, not just those in the same Department. If Hide User is checked/enabled, then the user is not displayed in either Team or Contacts. It seems perhaps there needs to be separate options for Hide from Team and Hide from Contacts?

I believe I've tested all combinations of settings, and I've double-checked the settings of Users > View > Presence (checked/enabled) and Departments > Options > Publish department information to all extensions (unchecked/disabled). Also, none of the users are in the Default Department.

Here's another, slightly more recent thread, also dealing with this issue: https://www.3cx.com/community/threads/system-v20-how-to-hide-the-other-departments-extensions-question.131342/
As mentioned there, when Hide User is not enabled, then in addition to appearing in Team, the user also appears in Contacts; however, in Contacts, members of the same Dept will show as Available (if registered) while others will appear as Not registered, even though they are - and that seems like a bug, which might be contributing to the overall issue here as well.

@NicholasP_3CX @MichaelB_3CX Any thoughts here? Can we get the visibility/hide setting separated, so a user's appearance in Team and Contacts is not tied together? Thank you for any insights or assistance!

@caldwell Hello, just tagging you here so you see my previous reply from earlier today, as this is still an issue for us, and I'm wondering how the change from "Hide from Contacts" to "Hide User" may be affecting your systems. Thanks

Hello friends... still looking for a solution here; please see my previous reply (March 17) for details.

@NicholasP_3CX @MichaelB_3CX Any thoughts? Can we get the visibility/hide setting separated so a user's appearance in Team and Contacts is not tied together? In Users > Options, separate checkboxes for Hide from Contacts and Hide from Team would take care of it. Thank you for any insights or assistance!

There are many posts about this; here's another recent related item: @PV_Support https://www.3cx.com/community/threa...ryone-sees-the-contact-card-or-no-one.132790/
