Size the system, not every user

Many business phone systems charge for every user, every month. 3CX licensing works differently. Commercial editions are sold as one annual system licence, sized mainly by the number of simultaneous calls your organisation needs. A sim call (SC) is any internal or external call taking place at the same time.

User count doesn't set the licence price, but each SC size has published recommended and maximum user or extension limits. The right licence must account for both call demand and system size. For example, 50 users do not require 50 licences. If the busiest period needs 16 concurrent calls, assess a 24SC licence to provide additional capacity and room to grow.

One annual licence + edition + SC size = one 3CX system.

Fair Use Policy

System-based pricing does not mean unlimited users or extensions. Each SC size has a recommended range to guide sizing and a maximum permitted number. The maximum is a hard limit for that licence size.

Freedom Of Deployment

You can deploy 3CX in three ways: Hosted by 3CX, where we manage the hosting; self-hosted, where you manage it in your own cloud environment; or on-premise, where you run it at your own location.

Vendor Flexibility

With 3CX, you can choose from a wide range of supported IP phones and SIP trunk providers, giving you the flexibility to use the vendors that best fit your business.

3CX commercial editions use one annual licence per system. The price is based on the selected edition and simultaneous call size rather than a separate monthly fee for each user.

A simultaneous call is a call taking place at the same time as other calls on the system. Both internal and external calls count towards the SC capacity. An idle extension does not use SC capacity.

No. User count does not directly set the commercial licence price. However, every SC size has recommended and maximum user or extension limits, so the selected licence must still be appropriate for the size of the system.

Estimate the busiest period and count the internal and external calls likely to be active together. Include queues, outbound campaigns, conferencing and seasonal peaks, then add sensible headroom for growth. A 3CX Partner can validate the final size.

The recommended range helps match typical user counts to an SC size while maintaining suitable capacity and availability. The maximum is the highest permitted number of users or extensions for that licence size. Higher call demand may require a larger licence before the maximum is reached.

No. An extension does not consume SC capacity simply by existing. Capacity is used when calls are active. The extension still counts towards the published user or extension limit for the licence size.
3CX offers SMB Free, Basic, PRO and AI. Basic covers core business telephony. PRO adds contact centre tools, integrations and advanced reporting. AI adds AI Agents, full transcription, summaries, sentiment analysis and other advanced capabilities.
No. Hosted by 3CX is free for the duration of the product trial. After the trial, commercial systems pay a separate annual hosting charge based on SC size. Hosting is included with 3CX SMB Free.
Yes. Basic, PRO and AI can be deployed with 3CX hosting, self-hosted in a supported cloud environment or installed on-premise.

They are selected separately from the 3CX system licence. You can bring your own supported SIP trunk and numbers. Provider charges and partner services depend on the supplier and deployment.

Yes. As call volume, user count or feature requirements grow, move to a larger SC size or a more capable edition. Review the system before renewal and whenever business requirements change.
