Message after the Simultaneous Call limit is exceeded

Hi everyone,

I'm relatively new to the 3CX community, coming over from other PBX systems, and I've been absolutely loving the platform so far! That said, I definitely still have more questions than answers as I get up to speed.

I have a customer running a 16SC license with 12 extensions. On a couple of occasions, they've managed to spike their simultaneous calls and hit that 16SC ceiling (mostly due to a few users doing 3-way conference calls at the same time).

The customer asked me a direct question: Is there a creative or alternate way to replace the default system message ("The number of calls allowed by your license has been exceeded...") with a more standard business greeting? They'd prefer external callers to hear something like, "At this moment all our associates are busy, please call back later."

Any ideas you guys use to handle this to (try to) satisfied the customer request?

Hi, in this scenario you may need to use a custom prompt, please refer to this document https://www.3cx.com/docs/localize-promptsets/

Make a copy of the default english prompts, then replace the audios for the one you want to use

Then set the custom prompt as default in the system and department.

You can use ure own systemprompt and change the wav files to the one you like..
 
I think you have to restart the Audio and IVR services once you've done it too IIRC

My recommendation -- spend the $300 a year to bump from 16 to 24 simultaneous calls. That's less than a dollar a day. Is is worth $1 a day to ensure you don't miss a sale, or lose a customer because they cannot contact you? I'll be honest with you, as a business person, this is a really short-sighted question. Once you pay for the labor to find the correct prompt and update it (and we won't discuss the future update concerns here), you are now down to $0.25 a day. Invest the tiny amount of money and stop being penny-wise and pound-foolish. You probably spend more than $300 a year on toilet paper.
 
We also have it setup to email our helpdesk if any clients or ourselves hit this limit. We will then do a review of if we need to upgrade the licence or if it was a one off.

It would be great if there was a 3cx report that shows the amount of sim calls. We could then see historic data to see how close we have been getting.
 
We can help with that. You may want to look at our 3CX Exporter tool. We have now started adding built-in reports that you can customize. We provide the report definition (see below) that you can use as-is or duplicate and then modify to meet your specific needs. It's a new feature of Exporter and we will be adding more and more reports as time permits.

Exporter has been evolving for more than 15+ years, and this new built-in reporting feature is just the most recent enhancement. Perhaps it is time to change the product name to something like "3CX Reporter" or something like that? I have resisted the requests to build a 3CX reporting tool for nearly 20 years, but the never-ending requests for custom reports finally wore me down and I decided to hire dedicated staff for building custom reports and here we are...

There is one consideration for this specific report -- this report measures the actual simultaneous calls, but some calls may not necessarily count against your 3CX simultaneous call count. Therefore, this report should be used as one indicator of your call volume and may not precisely represent what 3CX counts. Even so, this report will give you important insights into your simultaneous call counts and trends over time. If you see your call counts going up over time, you can get a sense when an upgrade is likely to be needed. That will give you time to get funding approval, and the upgrade in place, before you start getting blocked phone calls.
