Hello,

I have a small manufacturing shop (just me and my wife), and my sons helped set up a 3CX phone system for us, hosted locally on a small PC. It uses Flowroute for SIP and T.38 relay services, with two DIDs, a few phones scattered in various locations in the shop and office area where we work, as well as a SNOM overhead paging unit and a Patton FXS gateway for a physical fax and copy machine.

Typical workflow includes inbound callers going to a broadcast ring group from the first DID (basically ringing all the phones, so one of us can answer wherever we happen to be in the shop). Typically my wife will be in the office and answer the call, then park the call and announce over a one-way paging group (including all the phones and overhead paging unit). Then I will pick up the call in the shop on the nearest phone. Faxes simply ring in on the other DID, are answered by 3CX, and forwarded to our email. During off hours we have an auto-attendant to state our hours and let them leave a voicemail.

This setup was working great until recently, where it seems the licensing has changed. Previously, it was metered by active calls on the SIP trunk. We don't have a high call volume, but we might have an inbound call and a fax at the same time (or occasionally two callers), so even two simultaneous calls was enough for my small business.

However, recently callers have started to get messages about calls being over the license limit when they call in when this happens. In working with my sons to figure out what's going on, apparently doing a one-way page now counts toward the "simultaneous calls" license limit, in dramatic fashion (adding seven calls during that interval). Several times now we've had coinciding calls from customers that have complained about receiving this message rather than getting through to us.

According to the license page, the least amount now that could potentially handle this call flow would be a 16SC PRO license to avoid the situation of getting a lost call while paging. I have no problem with paying for a 4SC license (the number of calls on the trunk would never exceed that), but 16SC PRO is almost $700. For a two person shop, this is a significant expense for such a basic call flow.

I see you recommend that small shops like mine (less than ten users) should go to 3CX SMB FREE hosted by yourselves, however it does not support paging or FXS units that my business utilizes (hence why it is hosted on site).

What do you recommend I do to resolve this issue?

What version are you running of the 3CX? If you are using the free license, you need to be on v20. Otherwise the license drops to 2 calls, instead of 4 which was probably enough before.

I've got a free edition license that dropped to 2SC and thats on v20. Dont know what happened tbh.

Is the license under your client's email address or your email address?
Has the license expired?
How many free licenses do you have in your partner account?

No, no and 7.

is 3CX Version 20, Update 1, Build 20.0.1.731 or more ? Right ?

its update 2. got a few of the free ones on 2sc

I recommend opening a ticket directly with 3CX using your license information in this case.
It would be helpful if you could return here to provide an update after you have resolved the mystery, please.

We are running v20; I've confirmed it shows 'Standard Annual' but only '2 SC'. I doubt 4 was enough before since when paging now it jumps up to 7, whereas it never moved before (only calls across the trunk counted).

only calls across the trunk counted
No, internal calls are also counted in the SC needed. Even if you block the trunk to X amount, the SC of the license supersedes it.

Don't know how you can snap your fingers and change the experience we've had, but it doesn't solve the issue. I don't think one-way paging should equal seven calls and suddenly jam up the whole system either.

Please note that paging only uses 1 simultaneous call

This is the paging group we are using in v20. It causes the SC counter to increment by 6 in the dashboard (so that plus the trunk call that was parked = 7). I've verified that an inbound call to the trunk under this circumstance causes the 'out of license' announcement to be played to the caller.

Are you suggesting what I'm seeing in the dashboard is a UI error, and that it's only actually counting as one (and since 2SC then it would have been over that)? It's very possible as I swear we had the 4SC Free license before, but for some reason it's saying only 2SC right now.

This is not a visual error; the counter displayed on the dashboard reflects the actual number of calls in the system, independent of the allowed limit. For instance, calls to emergency numbers, as explained here: https://www.3cx.com/docs/manual/emergency-numbers/, will appear in the dashboard counter but do not count towards the 3CX limit ( I’m not sure about FlowRoute... if they count calls to emergency numbers, like 911. )

It's always been this way, for as long as I can remember.

In fact, I found a post from 2018 that mentions this. And I know it was in effect well before the 2018 version.

Basically you see 7 active calls, but it's actually 1 for the paging and the other is your parked call in your example. Then, the third call gets a license error because you're on 2SC.
