I currently have the system setup in 3cx cloud and transfers all incoming calls to extension to the IVR, then caller can dial by extension during the recording.

Is there a way to program a button that would bypass the main IVR recording and directly forward all calls to an external number. Then when people are back in the office, they would simply turn off the button and the main IVR would take all the calls again? This can happen multiple times throughout the day, so looking for something as easy as possible for the enduser. Thanks.

It depends on how you configure it. You can use an dial code to force the 3CX in or out office hours". Or you can maybe do something with an extension there status. Like available means x and DND means z. There is also an 3th option called Call Flow Designer with this program you can do an database check if the value is true or false then do x or else do z.

Thanks for the quick reply. We are very new to 3cx and learning functionality. So, basically would we create a speed dial button for *642 for out of office, and then *641 button for in office. Then setup a route for the out of office calls to go to our external number?

Yes that's an option. But there is 1 issue with this unfortunately because there is no way to see if it is on or off. You can only test this with dialing the DID.
And don't forget to add "*64" at the field "Force 3CX Phone System to IN or OUT of office" in the 3CX Management Console at Settings > Dial Codes. Also don't forget to give the the extension manager rights.

Ok, we will see if just employee training or a notification used in the office will be enough for employees to remember when to set in/out of office.

The dial code is set correct I believe, we will research how to setup the out of office function and what number to dial out to.

Can someone point me in the right direction of where we would program the external number for all calls when out of office mode is activated ( *642 ) on the system.

Take a look at your inbound rules.
