We are using the digital receptionist prompt to give a message in case of out-of-office. The prompt needs to be uupdated every weekend to include different information e.g. which doctor is on on-call.

I cannot find any way to update this prompt without giving the medical assistants full admin access to the 3cx system. It seems that access to the digital receptionist is not possible through the webclient.

We also thought about creating a fake extension as digital receptionist since Extensions can be configured by simple users, however, for an extension it is not possible to give a message and afterwards to end the call... only voicmail is possible which gives callers the possibility to leave message...which is not desired.

Can you please help to find a solution to this digital receptionist configuration?

Hello @PraxisAdmin

The only way i can think of to achieve this is through the Call Flow Designer. https://www.3cx.com/phone-system/call-flow-designer/
You can create an application where it allows you to record a file and then replace the IVR prompt before restarting the IVR service.
Please note that the Call Flow Designer is available to PRO versions and above.

Can confirm this is the way to go. I have an IVR, that calls a call flow, that allows recording, then replaces another IVRs prompt. Works as expected.

Thanks a lot for the quick replies. I have PRO version so this is not an issue.

Reading the Call Flow documentation this does not seem to be something trivial to do. I could not even easily identify the main components that do the functions described above. Can you share an example or a simple step-by-step guide on how to do that in CFD?

We have a pretty comprehensive manual for the Call Flow Designer which can get you started and there are also examples included. Nothing specific for your scenario but we cannot include all possible scenarios in the manual. https://www.3cx.com/docs/manual/call-flow-designer-manual/
We also have a dedicated forum section for CFD where you can ask specific questions if you run into issues during your build.

PraxisAdmin> Same problem here ... I really don't understand why one need Admin access for IVR configuration. I will have a look at CFD too these followin days, so maybe we can share our work :).
