Trying to get Ai Receptionist (or PA) to gather intake information and send info somewhere

Hello,

I am using the Ai receptionist, and have been successful in getting it to interact in an INTAKE roll gathering basic information like:

- NAME
- COMPANY
- CALLBACK NUMBER
- ISSUE BEING CALLED ABOUT

The interaction is smooth after adjusting prompting, and it is very good at re-iterating issues, verifying contact info, etc ... but once the information is gathered, I need to send it somewhere. My ideal outcome would be to email the gathered info in a formatted way, as noted above. Secondary ideal outcome would be to send this gathered information to a 3CX chat or 3cx queue.

Is this possible? Any direction on this would be extremely helpful.

Hi,

You need to go into the Agents routing config and define a destination for them to transfer the call, the call transfers this information too and it can be seen in the call recipient apps. Also it can leave this information as a chat message if the line it is trying to transfer too is busy. You might be able to convince it to always send a chat, but that's not the build in defined behaviour.

How can one do this without transferring the call? I have created a custom receptionist and want to use it for employees to call in sick after hours. I do not want to transfer the calls to anyone, just record the information and forward to specific people. No matter what I do in call routing, I get nothing even thought I am now really happy with how I "trained" the agent. Can you give me some guidance?

You could have it transfering to a non-connected extension without voicemail, so it just offers to take a message, and leave it at that - or to a CFD that simply hangs up. But perhaps using the Secretary Agent model and having the boss be busy/not take call will yield better results for just leaving a message.
