Hello Everyone,

We are migrating from Cisco to 3CX. I have a question about group structures and what people recommend.

We have 5 different physical sites and 25 different departments in our organization.

Should I create a unique "group" per site or per department? I don't exactly understand what benefits are derived from group structures - except I think you map these groups for E911 here:

Settings >> General Settings >> Emergency Numbers

Extension Groups can be used to do things like, restrict Outbound Rules/Emergency calls, manipulate what calls can be seen by which extensions, determine what extensions are visible to other extensions, etc. That said, how you will create extension groups will depend on your use case so you would have to determine how in terms of PBX functionality, your users are grouped and also, what your managers should be able to see and manage. If for instance all users of the same site, regardless of the department, need to have similar PBX functionality between them and one manager to see all this information, then you might need to group extensions per site. If however, it is the departments that will share common PBX functionality and managers will need to s, then you might want to consider grouping extensions per department.

Edit: As @kieferschild said, you can group them as you want, so better check the 3CX academy and this link for more information on extension groups. The more you understand how you can use extension groups in 3CX, the easier it will be to determine how you need to group your users depending on your use case and requirements.

I will also point out that an extension can belong to multiple groups. So, for example, you may want to have a "site" group and a separate "department" group and include the same extension in both groups. As you know, we use 3CX groups extensively in our tools to manage access permissions.
