We've been running 12.5 and have started the upgrade process because of the upcoming license certs issue. Over the 9/2 weekend we upgraded to v14. Today I find out that there's an email from the 3CX Team using our 3CX install admin email address addressed to our web site's contact email address. I now have marketing people trying to install 3cx apps on their phones and hitting the help desk for help when they didn't work.

Can anyone explain this?

The term to describe my mindset right now is livid.

I am confused as to what you just described. Someone registered an extension on a PBX with your email address and sent a welcome email to it? If yes then im afraid there's not much 3CX can do about it. Anyone can add any email address they want to an extension and send a welcome email.

Also make sure its a legitimate email and not a phishing email.

No, I upgraded our system. Then an email is sent to our web site contact using the admin email address of our PBX. The email is a legit system upgrade email:

Subject: Welcome to 3CX Phone System version 14!

Your 3CX has been upgraded to a new version with many new features
that will increase your mobility and productivity.

Version 14 has brand new iPhone and Android clients. Find out whats
new here http://www.3cx.com/blog/releases/new-android-ios-clients/

Because it is a new version, you will need to re-install the 3CX app
on your smartphone. To do this:

For Android: https://play.google.com/store/apps/details?id=com.tcx.sipphone14
For iPhone: https://itunes.apple.com/us/app/3cxphone-14-for-3cx-phone/id992045982?ls=1&mt=8

After that you will need to configure them. Just double click on the
attachment in this mail from your smartphone and the rest will be done
automatically.

3CXPhone for Windows or Mac will update via the usual way. If you
prefer to reinstall them:
Windows: http://downloads.3cx.com/downloads/3CXPhoneforWindows14.msi
Mac: http://downloads.3cx.com/downloads/3CXPhoneforMac14.dmg

For information how to use 3CX, go to http://www.3cx.com/user-manual/

For your reference, your extension number is "304" and your personal
PIN is "5252" . You can use your extension number and PIN to access
your voice mail by phone at "999".

Kind regards,

The 3CX Team

Further research reveals the PBX emailed every extension email on the PBX. When I go to 15.5 how do I keep it from sending out this email? Break the email by changing the server settings until after the upgrade?

Hello @Dennis T

Please note that the PBX will not send a new welcome email when upgrading from V14 to V15.5 but to cover all angles you could set the wrong SMTP settings in the installer if using a PRO licence. If you are using a standard licence the installer will not ask you for SMTP settings as the 3CX SMTP server will be used.

We have a standard system with perpetual license. In Settings -> Network -> Mail Server I have our internal server designated. Our company firewall is configured to only allow SMTP traffic to/from our internal email server. Are you saying under 15.5 email will no longer go through our internal server and will be forced to go through the 3CX server?

Please note that licencing has changed in the recent version of the PBX and the free licence is not the standard licence. The standard licence does not allow for custom SMTP servers and the backup of the V14 does not transfer these settings over so when you first upgrade the system will be setup with the 3CX SMTP server.
However if you reply back to the email regarding the upgrade our support department can assist you in setting your SMTP server back.
