System Options
License
The license page shows important information about your 3CX license. How it is registered, which partner you are linked to and when it expires. It is important to check and update the license owner, as sometimes the information is provided by the partner and it may no longer be correct.
Updates
The updates function is documented in the system management guide.
Alerts
You can configure alert notifications to be delivered for:
- System Alerts - relating to machine resource usage and 3CX services
- 3CX Alerts - errors detected with trunks, security, and disk quotas for recordings and voicemails
You can also decide who will receive email notifications:
- system administrators
- system owners
- additional email addresses
Storage
You can select from different remote storage location options:
- FTP or SFTP
- Google Storage
- SMB (Windows File Share)
- SharePoint
- AWS S3 Bucket
The storage page allows you to configure remote storage and retention policies for:
- Chat Files
- Faxes
- Recordings
- Voicemails
You can also configure scheduled backups to be archived to your remote storage. Use the Gear icon for additional settings.
Maintenance
You can manage data stored on your system from the maintenance page, where you can selectively which data to purge when necessary.
Options
The options dialog allows you to set:
- Language and Time Zone - This will be used as a preset for new departments and is overridden by department settings
- Renaming of Custom Statuses
- System Settings
- Apps Restrictions and preferences
- Scheduler to change Automation Status Scheduling, Reports Scheduling and Logout Hot Desking Phones

Call Parking
Call Parking is a popular feature that allows a caller to temporarily “park” into the system.
Calls are "parked" in designated extension slots, which function as waiting rooms. You can configure Busy Lamp Field (BLF) indicators on your phone, and monitor specific parking slots. By pressing the BLF line key, agents can unpark the call. You can configure auto transfer / auto unpark after a pre-configured waiting time to ensure a call is not forgotten.

Conferencing
Configure Audio and Video Conferencing settings from the Admin Console in "Admin > System > Conferencing".
For Audio conferencing, if required, you can also enable DTMF tone delivery during active conferences.
For Video Conferencing, you can choose between a Cloud (3CX managed) conferencing server, a Private conferencing server, or to Disable Video Conferencing completely for your PBX.

3CX requires an email to send out email notifications, welcome emails and more. By default 3CX will use the public 3CX SMTP server, but we encourage you to use your own mail server for confidentiality and reliability. In some cases our mails may be flagged as spam by some mail servers.
- 3CX SMTP - Uses 3CX Sendgrid servers.
- Microsoft 365 - If you have Microsoft 365, configure 3CX to use it.
- Google Workspace - If you have Google Workspace, configure 3CX to use it.
- SendGrid - If you have your own Sendgrid account, configure 3CX to use it (Update 10 or later).
- Custom - If you have a custom SMTP server you can configure the server name and authentication details here.
Music on Hold
You can configure custom music on hold files and behavior here. You can upload up to 10 distinct music on hold files. Supported formats: WAV PCM, 8 kHz, 16 bit, Mono and have a file size limit of 10MB.
You can also create playlists. Designate a specific folder on disk containing audio files, podcasts, or any audio media and create audio playlists which can be integrated into your queues, parked calls, conference calls, and any other instances where music on hold is played to your audience. This transforms waiting time into an opportunity to showcase your brand personality.
