A question-led guide to queue, SLA, agent, call-level and AI-powered reporting in 3CX.
Contact center reporting is easier when you start with the question you want to answer. Are callers waiting too long? Are enough agents available? When are queues busiest? What happened to one specific call?
3CX provides different reports for each of these questions under Admin > Reports, covering queues, agents, extensions, activity and individual calls.
Choosing the right report, time period and filters helps you get to the information you need faster. Read on to see which 3CX reports to use for common contact center questions and what to check next.
Start With the Question You Want to Answer
Before opening a report, define what you want to understand. For example:
- Are callers waiting too long?
- How many calls were answered or abandoned?
- When is call demand highest?
- Which agents were logged in during a busy period?
- What happened to a specific caller?
Then set the relevant time range, queues, call status, call type, Department scope and available report filters. Keeping the same filters is particularly important when comparing results across different periods.
Start with one queue or Department and a defined time range. Expand the scope when you need to compare performance across more queues or a longer period.
Check Queue Performance and Service Levels
Use SLA Statistics to see whether a queue is meeting its configured response target. SLA Breaches gives you a more focused view of calls that exceed the queue's SLA.
For a broader picture, use Queue Performance Overview to review received, serviced and unanswered calls together with talk-time measures. Detailed Queue Statistics provides additional information including answered and abandoned calls, percentage serviced, talk time and callbacks where available.
For more specific questions:
- Abandoned Queue Calls shows callers who left before their call was answered
- Queue Answered Calls By Waiting Time shows how long answered callers waited
- Queue Callbacks shows callback requests
- Queue Failed Callbacks helps identify callback attempts that could not be completed
These reports can be used together to understand both queue performance and the caller experience.
Review Agent Activity and Demand
Use Agent in Queue Statistics to review agent activity within the queues they belong to. Agent Login History shows when agents logged in and out and can help you compare staffing levels against busy periods.
Agent figures are best reviewed alongside factors such as queue membership, polling strategy, ring time, skills, transfers and the selected reporting period.
For demand patterns, User Activity and Call Distribution can help identify when call activity increases. Compare these periods with Agent Login History and queue performance to see whether the next review should focus on staffing, schedules, routing or callbacks.
Go to Call-Level Detail When Needed
Sometimes the question is about one caller or one particular call rather than overall queue performance. Use Call Log to review individual call activity. Depending on the available information, this can include:
- Call time and Call ID
- Caller and callee
- Direction and status
- Ringing and talking time
- Cost
- Call activity details
This can help establish how a particular call was handled, including whether it was answered, transferred, missed or ended at a specific point.
Use CDR for Lower-Level Call Data
Use CDR (Call Data Records) when you need more detailed call records or want to process call data using your own reporting tools. CDR provides the underlying data rather than a ready-made KPI, making it useful when the standard reports have answered the broader question and more detailed analysis is required.
For general reporting questions, start with the native 3CX reports and move to CDR when the use case requires lower-level call information.
Turn Report Findings Into Action
Reports show what happened and when. Use the pattern in the results to decide what to review next. For example:
- Long waits during recurring periods: Compare the period with Agent Login History, schedules, queue coverage and callback options
- High abandoned or unanswered calls: Review queue membership, agent login state, polling strategy, ring time and unanswered-call destinations
- SLA breaches across several queues: Compare staffing and routing across the same period
- High callback activity or failed callbacks: Review callback configuration, caller numbers, return routing and agent availability
- An issue affecting one caller or call: Review Call Log and, where required, CDR before making wider queue changes
Using a small set of related reports gives you more context than relying on one figure alone.
Go Beyond Standard Reports With AI
3CX reporting can also add AI-driven context to standard call data. With AI enabled, supported reports can include transcripts, summaries and sentiment, helping managers understand what happened during customer conversations as well as the usual call metrics. AI can help you:
- Review call summaries without reading the full transcript
- Track sentiment across calls, extensions, Ring Groups and queues
- Compare sentiment with waiting time in Queue Answered Calls By Waiting Time
- Spot recurring issues or trends across customer conversations
For questions that go beyond the standard report set, the 3CX MCP Server adds another option. Connect a compatible AI client and ask questions in natural language about the PBX data available to your 3CX user. This can be useful for investigating queue performance, service-level issues, staffing gaps, call transfers or unusual call patterns.
AI clients can also connect to external databases fed by the Data Connectors, allowing you to compare those exposed long term trends against the current call statistics retrieved from the MCP Server, effectively showing you exactly when and what action could be taken.
